In my role as an AI Merit Badge Counselor for Scouting America, I recently guided local Scouts through a hands-on exploration of artificial intelligence, practical prompt design, and real-world utility. Using Google Gemini Notebook (NotebookLM) as our primary environment, we developed an automated meal planning and shopping list generator tailored for outdoor adventures—including camping, canoeing, and hiking trips. By treating AI as a collaborative assistant rather than a black box, the Scouts learned how to structure unstructured data, apply realistic operational constraints, and generate actionable, field-ready outputs.
Strategic Prompt Engineering and Tool Selection
We selected Google Gemini Notebook because of its source-grounded approach and structured workspace, which allowed us to train a local context on specialized Scouting material.
- Model Orchestration: We paired Gemini's analytical capabilities with curated source materials, including Scouting America nutrition guidelines, backcountry meal formulas, and dietary restriction frameworks.
- Visual Identity Development: Using clean markdown schemas and source tags, we instructed the model to synthesize raw trip parameters—such as troop size, activity level, weather conditions, and portage weight limits—into structured meal schedules.
- Technical Workarounds: To bypass the standard generic outputs of broad AI queries, we constructed explicit multi-step prompts that forced the system to cross-reference ingredient overlap, minimize pack weight, and format shopping lists directly by grocery aisle or packing category.

This project demonstrated how Generative AI can streamline complex logistical planning into intuitive, repeatable workflows.
- Thought Leadership: Beyond teaching fundamental technology skills, the effort showcased how grounding language models in precise source documents dramatically reduces hallucinations and delivers dependable operational plans.

- Hybrid Media Workflows: We integrated the AI-generated meal plans into print-ready duty rosters and digital checklist tools, linking recipe steps with specific patrol responsibilities for campsite preparation.
